Inventory

The Property Control Office is responsible for maintaining and updating the inventory of all College equipment and other tangible property. Property with a value of $5,000 or more is affixed with a property tag for purposes of control. All art, computers, and vehicles are also tagged, regardless of cost. 

Inventory reports are distributed to the departments annually in March and are to be returned completed to Property Control by the specified deadline. However, inventories should be taken by Asset Coordinators independently at the beginning of each term (January, May, and September) in an effort to keep records current and minimize discrepancies.

Disposal

When a department determines that an equipment item is obsolete, worn out, or otherwise unusable a disposal process is initiated through Property Control leading to the disposition of the item and its deletion from the public inventory. Disposal must be performed by the CNM Physical Plant Department and Shipping & Receiving only and is subject to direction by the Capital Outlay Committee. No other College department may physically dispose of property.

The disposal of CNM property is executed in accordance with the appropriate procedural steps and complies with applicable institutional, local, state, and federal rules and regulations. When an item of tangible property is adjudged to be obsolete, worn-out or otherwise unusable, or no longer economical or safe for continued use, it may be discarded according to Governing Board procedures and revised New Mexico Statute (13-6-1 NMSA 1978). The disposal process varies according to the value of the items. Property may be disposed of through donation, trade-in, auction or sealed bid. Most property with a cost of $4,999 or less does not need the Capital Outlay Committee's approval for disposition. Tagged CNM Property may not be removed from CNM Campuses for disposal without express written approval from the Property Control Office.
