Policies and Procedures
Records Retention receives only inactive and permanent records from CNM departments for storage pending final disposition according to State and Federal retention requirements. Examples include personnel files, purchase orders, grade books or surveys.
To request records storage, customers must use the four part Storage Ticket Form (see sample) along with an index of the box contents. The Storage Ticket forms are purchased at Duplicating & Postal Service (ext. 44554). Records Retention boxes are purchased at Shipping & Receiving (ext. 44615).
Records are destroyed according to State and Federal guidelines when legal requirements are met. All public records must be approved for destruction by the Records and Property Control Department and by the State Commission of Public Records. State Retention Schedules are available online in The Source for further reference: Retention/Disposition of College Records (§ IS-2520).
Records Retention provides consulting services to departments on filing systems and records retention requirements. Call ext. 44617 for arrangements.
